Board of Directors Meeting

Wednesday, March 19, 2020, 6:00pm – 7:30pm

On the 19th of March President Jorge Morgado called the ELSA Board of Directors meeting to order at approximately 6:05 p.m.  Due to COVID-19 the meeting is taking place via phone/zoom meeting.


The following Directors were present:  Jorge Morgado, Hayes Murray, Katie O’Sullivan, Jen Soja, Jeff Reilly, Steve Vigneux, Kristin Dudley, Stanley Lukasik


Others Present:  Brian Davis – Rec Comm, Donna Prather Rec Dept


Approval of Minutes 6:00pm - 6:05pm

Minutes of the February meeting were reviewed, January minutes are pending.  Tabled approval of February minutes until January can also be reviewed/approved.

Information owed to Roots for spring soccer deadlines 6:05pm – 6:35pm

Due to COVID-19, all soccer activities have been postponed until May 4, 2020.  The season was scheduled to start on April 25.  ELSA and Rec will continue to stay in touch and monitor timing.  Some additional information is needed in order to complete team formation/registration:

  • Several teams still awaiting coaching assignments/volunteers: U8 boys (Mawby/Fiorentino for 2nd grade but need a 1st grade), U10 girls.  To register a team in sports engine a head coach needs to be assigned.  Director Dudley will use “TBD” as coach assignment for teams without a coach, so she is able to start setting up teams in sports engine.

  • Donna Prather will confirm grades for U8 players in order to build teams

  • Rec will handle all team/coach communications


Tryouts for fall soccer:  soccer XS or MYSA 6:35pm – 7:10pm

Using MYSA evaluators for weeknight evaluators – Four MYSA evaluators, three nights, 2 age groups per night, 2 ¾ hours - $2,640.  Using Soccer XS in this structure, the cost would be $15 less per hour per evaluator, however Soccer XS may not have the capacity.  One of the factors in the decision is all day Saturday tryouts (as EL has done in the past) vs. weekday tryouts.  Weekday tryouts may allow for more flexibility for attendance. A discussion was held on the merits of having try outs during the week vs. weekend.  A vote was held on a 3 weeknight vs. weekend tryout schedules.  All directors voted to pursue tryouts over a 3-weeknight schedule.  Director Reilly will facilitate with MYSA.

President Morgado asked if Spring roots soccer and sports in general are shut down due to COVID-19, what should the timing of tryouts be.  Director Vigneux stated with the rate that things are changing on an hourly/daily basis, setting a time for this scenario may not be feasible right now.  President Morgado agreed.  The Board and Rec will continue to monitor and will take under consideration at further meetings.  Director Sullivan asked if we would have to have a contact with MYSA/Soccer XS for tryouts.

Soccer heroes spring numbers/communication - 7:10pm – 7:15pm

Soccer heroes (pre-k, formerly little kickers) program final numbers – 47 players registered.  Program will take place Sunday afternoons at Meadowbrook, and five parent volunteers/coaches will be needed un order to facilitate the program.  Director Soja will be coordinating communications to player families.

Roots meeting update 7:15pm – 7:16pm

No updates to discuss.  See previous minutes.

Finance update 7:16pm – 7:20pm

$9,000.84 balance in the ELSA account.  No changes since prior meeting.

Other Business

The next ELSA board meeting is scheduled for Wednesday April 8th at 6:00 pm.  There being no further business, President Morgado adjourned the meeting at approximately 7:21 p.m.
